Your Oahu beach wedding at Waialae Beach Park includes arranging permit with the Department of Land and Natural Resources with required Certificate of Insurance, two fresh seasonal floral leis for bride and groom, non-denominational minister, commemorative wedding certificate, on-site wedding coordinator for the ceremony that brings the beach permit, leis and serves as your witness for the wedding.    Additional time and services are available upon request.

 

Waikiki Sunset Ceremony Package - $2750 plus tax

Say "I DO" on the oceanfront lawn as you exchange your vows and start your life together

The Waikiki Sunset Wedding Package is available on Mondays, Tuesdays and Thursdays (excluding holidays).

 

Held on the lawn of the Waikiki Aquarium, located next to a living reef on the Waikiki shoreline which is conveniently located for your friends and family.  Site rental fee of Waikiki Aquarium lawn for one hour with seating up to 50 guests

A one month kick-off virtual (e-mail) consulting package!     Perfect for clients that don't know how to start the wedding planning process.   The first thing we help you do is to create your spending plan (otherwise known as budget) for the wedding as we know from experience that much of the stress of wedding planning is when couples overextend themselves by not having "realistic" figures or completely forgetting something.   After defining your spending plan, we will streamline the process of selecting your vendors by checking their availability first, then providing at least 3-4 referrals for each category that matches your style and budget which will save you time, stress and money.     

 

"Virtual (e-mail) Consulting - $75 plus tax/per hour (minimum of 2 hours prepaid prior to start of services)
E-mail based consulting (an average of 20-30 e-mails per hour) which may be used to have a qualified resource to answer your planning questions, provide vendor resources that match your style and budget, event design, timing, etc.

Pre-Planning "Scouting" Trip - $750 plus tax per day (up to 10 hours per day/prepaid prior to start of services)

We will set-up your pre-planning appointment schedule with venues and vendors during your visit to Honolulu to efficiently manage your valuable time.  Picking you up from your hotel so you won't have to worry about driving and finding each location and returning you back to your hotel at the end of the day.   Average meeting time is 1.5-2 hours pending on travel time. so an average of 5-6 meetings per day.

 

On-Site Coordination  - $125 plus tax/per hour (minimum of 3 hours)
Coordinator is on-site to oversee set-up of wedding ceremony and/or reception, helps to direct processional, queue musician, distribute flowers, direct guests, follows up on vendors arrival, distributes payments and manages your timeline allowing you and your guests to enjoy your wedding celebration.

 

In-Person Consultation Meeting -- $100 plus tax/per hour
We provide one free initial consultation which is used to determine which of our services may best suit your needs.  Additional meeting times are charged at an hourly rate unless it is included in your coordination package pricing (see below).    

 

The "Worry Free" Candy Buffet - contact us for quote - price varies depending on type of candies used

Save yourself the time, money and the aggravation of buying and/or shipping glass containers, scoops and candy!    No more figuring out how you're going to transport, set-up and replenish the candy during your event and what to do with the containers when you're done.   Service includes set-up of the candy buffet (re-using your reception table), glass containers, scoops, labels for all candy items, purchasing of 8-10 different types of candy (type based on whether indoors or outdoors), cellophane bags with twist ties and breakdown.      Pricing is dependent upon number of guests, type of candies used (higher cost associated with limiting colors to only 2-3) and the number of containers.   Clients that book the candy buffet in conjunction with one of our coordination packages will receive a preferred rate.

 

Rehearsal Dinner Coordination and Set-Up - $100 plus tax/per hour

Includes rehearsal dinner recommendations, reservations, set-up of table decor (additional fees apply depending on whether fresh flowers or rental of such items as candles, Moroccan lamps, etc., pick-up and delivery of your bridal party gifts to venue

 

Rentals (for our clients only, we must be on-site at end of event to retrieve items)

For destination weddings and those going "green", our ever expanding inventory includes votive candle holders (clear, frosted, sage green with rafia or purple), LED battery lights for outdoor events, bamboo runners, Moroccan Lamps, a variety of vases, frames that are used for table numbers, table tent cards and menu signage, etc.   

 

Simply Set-up - $95 plus tax per hour/per staff (minimum of 3 hours)

Perfect for brides that have a ceremony at one location and a small reception at another location and simply doesn't have anybody to take care of the set-up for her reception.   An on-site staff person (which is not a coordinator position will set-up your reception table (gift box, guest book, seating assignments, etc) favors, place cards, table numbers, fans, etc.  The number of hours, number of staff and pricing is dependent upon whether items are pre-delivered to venue or if staff has to pick-up items in advance of wedding date as well the number of staff that is required to complete the tasks within the given time frame.

Personal Event Shopper Service - $45 plus tax per hour (3 hour minimum)

Are you wondering just how you are going to manage to get all of your errands done the week of your wedding day without going crazy?

Let Hawaii Weddings and Events take some of the pressure off of you with our new personal event shopping service.     Your time is precious and the days leading up to your wedding should focused on spending time with your family and friends being  relaxed and stress-free versus wandering the streets of Honolulu.

Give us your list and let us take care of your errands (including, but not limited to the following):

·         Purchasing items and preparing your out-of-town gift bags so that they are ready upon arrival

·         Picking up your special linens and delivering to your venue

·         Purchasing your beverages for your off-premise events and delivering them to your caterer

·         Buying items and stuffing your favor boxes

·         Picking up your wedding gown and getting it pressed for you

·         Purchasing bridal party gifts and delivering to your rehearsal dinner

·         Preparing children activity bags to keep them busy during the wedding reception

·         Having your favors, guest book, parasols, etc. shipped to Hawaii and delivered to your hotel upon arrival.

Our Personal Event Shopping Service fee is at an hourly rate.  Please keep in mind that this hourly fee not only covers paying for our staff’s time, but it also covers the wear and tear on our vehicles as well as the cost of gas).  Rate is reduced for those that have booked one of our planning and coordination packages.

The hourly fee is charged based upon amount of time it takes to travel to each destination (copies of MapQuest calculations will be used to figure mileage and time) as well as the amount of time it takes to do your shopping and prepare items. 

Our Personal Shopping Service is subject to availability of and requires prepayment for our projected time (based on your needs) and for the products that we are purchasing on your behalf.    Receipts for all purchases and your change will be provided upon completion of your shopping trip.

Personal shopping service is subject to availability with priority given to Hawaii Weddings and Events couples that have secured one of our coordination packages.

"An Intimate Affair" – One Month (30-Day) Countdown to your Hawaii Wedding - $675 plus tax
Perfect for the casual and intimate wedding with less than 30 guests that have made and finalized with their venue, booked all of their vendors and will finalize all of their own contracts with the venue as well as vendors.

  • Our bridal checklist is sent to client and is returned to Hawaii Weddings and Events by the client not later than one month prior to the wedding day.

  • Copies of all finalized contracts with vendors as well as catering event order and floor plan provided by client to Hawaii Weddings and Events not later than one month prior to wedding day  

  • Preliminary timeline of what you envision is sent to Hawaii Weddings and Events not later than one month prior to wedding day

  • Detailed final timeline prepared and distributed to all your vendors two weeks prior to wedding day  

  • In-person meeting with couple one week prior to wedding day

  • Four (4) virtual consulting hours ($300 value) are provided to help answer questions, assist with vendors and provide valuable feedback prior to the 60-day marker (additional virtual consulting hours if needed are available at $75/per hour).  

  • Our bridal checklist is sent to client and is returned to Hawaii Weddings and Events by the client not later than two months prior to the wedding day along with copies of all finalized contracts with vendors as well as catering event order and floor plan.

  • Preliminary timeline sent to Hawaii Weddings and Events not later than two months prior to wedding day so that there is time to review and make appropriate adjustments after reconfirmations are made with vendors.

  • Six (6) virtual consulting hours ($450 value) are provided to help answer questions and provide feedback prior to the 90-day marker (additional virtual consulting hours if needed are available at $75/per hour).  

  • Our bridal checklist is sent to client to ensure that all of the “little” details have been covered and is returned to Hawaii Weddings and Events three months prior to the wedding day

  • Coordinating services will commence three months prior to the wedding day with an average planning/coordination time of 50-60 hours devoted to making your wedding day seamless.

  • Client provides copies of all contracts that have been secured to Hawaii Weddings and Events not later than three months prior to the wedding day 

  • Hawaii Weddings and Events will follow-up directly (via telephone consultation e-mail or in-person meetings) at critical checkpoints to ensure that you are on track with your wedding planning and provide you with "homework" assignments that are prioritized for you.  

  • In depth review of all vendor contracts and reconfirmation of all vendor services.  Thorough review of contracts and orders ensures that nothing has been overlooked.

  • Preparation of detailed timeline for the day and final reception program that will include specific details on those involved, song selections, timing that is also appropriate to your entertainment, menu, etc.

Our most popular package has been created just for our Lanikuhonua brides who still want to do the majority of their own planning but do need just a little more help due to the additional logistics of this beautiful off-premise oceanfront location.

  • Six (6) virtual consulting hours ($450 value) are provided to help provide you with referrals for key vendors (additional virtual consulting hours if needed are available at $75/per hour).

  • Hawaii Weddings and Events will prepare a custom floor plan of the reception based on your requirements (head table, number of guests, dance floor, type of menu, etc.)  

  • Hawaii Weddings and Events will take care of ordering your rental equipment (tent, tables, chairs, linen, china, glassware, etc.) based on your specific event needs to ensure that nothing is overlooked or duplicated by caterer and that set-up and breakdown is achievable within the given time frame.  

  • Our bridal checklist is sent to client to ensure that all of the “little” details have been covered and is returned to Hawaii Weddings and Events two months prior to the wedding day.  

  • Copies of client’s finalized contracts with vendors are provided by client to Hawaii Weddings and Events two month prior to wedding day

  • Ensures ceremony and reception venue are set-up as required serving as liaison between party rental company and the caterer to ensure everything is set-up, serviced and removed.  Please note that events over 100 guests may require you to secure the day before for tent installation to ensure your event is set-up prior to your guests arrival (the larger tents can take 4-5 hours just to install which doesn't include your table set-up time).

  • Rental company to set-up tent, lighting, arch and tables.  Coordinator will place linen and set-up ceremony chairs, and caterer to place china/flatware.

  • Caterer to be scheduled for the start the event to properly service your guests (cocktails, hors d'ouevres, bussing tables, removing garbage, serving food, manning buffet, taking drink orders, etc.) and are to assist with breakdown of all tables and chairs (stacked up on concrete) as well as removing garbage at the end of the evening (as required by Lanikuhonua);.  If your caterer does not provide this service, we may make arrangements to bring in additional staff at a rate of $35/per hour (4 hour minimum).

  • Rehearsal (one hour) may be reserved one month prior to wedding date at most venues  

  • This package may also be used for other off-premise venues such Waikiki Aquarium, Iolani Palace, Moili Gardens or Paliku Gardens at Kualoa Ranch and other off-premise estates 45 minutes of Waikiki (does not apply to properties on the North Shore.

  • Our Lokahi package includes twelve (12) virtual consulting hours ($900 value) which starts immediately and will be especially helpful in the beginning stages of your wedding planning to help streamline the process of securing your professional vendors so you can rest assured you have the right people in place.

  • Monthly phone calls are scheduled to ensure you are on track with your planning prior to the 120 day marker.

  • Hawaii Weddings and Events will prepare a custom floor plan of the reception based on your requirements (head table, number of guests, dance floor, type of menu, etc,

  • Hawaii Weddings and Events will coordinate with Loulu Palm's designated rental equipment (tent, tables, chairs, linen, china, glassware, etc.) based on your specific event needs to ensure that nothing is overlooked or duplicated by rental company and caterer.  Please note that events over 200 guests may require you to secure the day before for tent installation your event is set-up prior to your guests arrival (the larger tents can take 4-5 hours just to install which doesn't include your table set-up time).

  • Caterer to be scheduled for the start the event to properly service your guests (cocktails, hors d'ouevres, bussing tables, removing garbage, serving food, manning buffet, taking drink orders, etc.) and are to assist with breakdown of all tables and chairs (stacked up on concrete) as well as removing garbage at the end of the evening (as required by venues);.  If your caterer does not provide this service, we may make arrangements to bring in additional staff at a rate of $35/per hour (4 hour minimum).

  • Our bridal checklist is sent to client to ensure that all of the “little” details have been covered and is returned to Hawaii Weddings and Events four months prior to the wedding day

  • Copies of client’s finalized contracts with vendors are provided by client to Hawaii Weddings and Events three months prior to wedding day

  • In person meeting walk through with bride and groom upon arrival in Honolulu in town up to two weeks prior to wedding (usually the same day you get your marriage license).

  • Set-up of reception table (guest book, name list, gift card basket, etc)

  • Assisting in final program for the wedding day that will include specific details on those involved, song selections, timing that is also appropriate to your entertainment, menu, etc. 

  • On-site wedding coordinator for up to twelve (12) hours on wedding day (additional hours available at $75/per hour) to effectively manage the days production.   Typically we're on-site from 11am-11pm as all set-up (ie: tents, tables, chairs, etc.) and breakdown must be done on the same day at this oceanfront venue.    Additional hours if needed to return items such as rental vases, rental linens, etc. the next day are available at $75.00 per hour which is minimal in comparison to hiring florist to linen company to come back at the end of the evening

  • Ensures ceremony and reception venue are set-up as required serving as liaison between party rental company and the caterer to ensure everything is set-up, serviced and removed as required by the venue. 

  • Rehearsal (one hour) is charged at an additional $250 plus tax if at Loulu Palms.  If rehearsal is held in Honolulu, rehearsal rate is $125.00 plus tax (which often works out when guests are staying in Waikiki before going to North Shore).

  • Package price includes our travel fee (3 hour roundtrip drive) to this oceanfront location.

“For Sanity’s Sake”…...Consulting and Six Month (180 days) Countdown package - $2400 plus tax
This value added package has been created for the today’s busy bride that wants to do most of her Hawaii wedding planning, may have definite ideas in mind, but doesn’t know which vendors would be most appropriate or how to get started.   Hawaii Weddings and Events becomes your “partner” in the planning process so you can feel confident with your decisions each step along the way and have someone to bounce ideas off of as well as get honest constructive feedback on planning your Hawaii wedding.  

  • For Sanity's Sake package includes twenty (20) virtual consulting hours ($1500 value) which starts immediately and will be especially helpful in the beginning stages of your wedding planning to help streamline the process of securing your professional vendors so you can rest assured you have the right people in place.

  • Monthly phone calls are scheduled to ensure you are on track with your planning prior to the 180 day marker.

  • Review of client's spending plan (otherwise known as budget)

  • Our bridal checklist is sent to client to ensure that all of the "little" details have been covered and is returned to Hawaii Weddings and Events four months prior to the wedding day.

  • Coordinating services will commence six months prior to the wedding day with an average planning/coordination time of 60-70 hours devoted to making your wedding day seamless.

  • Client provides copies of contracts that have been secured to Hawaii Weddings and Events not later than four months prior to the wedding day.

  • Hawaii Weddings and Events will follow up directly (via telephone consultation e-mail, or in-person meetings) at critical checkpoints to ensure that you are on track with your wedding planning and provide you with "homework" assignments that are prioritized for you.

  • In depth review of all vendor contracts and reconfirmation of all vendor services

  • Preparation of detailed timeline that not only includes when vendor payments are due, pick up tuxedos, final counts, etc.

  • Assisting in final program for the wedding day that will include specific details on those involved, song selections, timing that is appropriate to your entertainment, menu, etc.

  • Set up reception table (guest book name list, gift card basket, etc. and other items as noted on bridal checklist.

  • Distribution of flowers and vendor payments as needed

  • Assists in finalizing all details with venue

  • If an off-premise venue,  Hawaii Weddings and Events will prepare a custom floor plan of the reception based on your requirements (head table, number of guests, dance floor, type of menu, etc.) If an off-premise venue, Hawaii Weddings and Events will take care of ordering your rental equipment (tent, tables, chairs, linen, china, glassware, etc.) based on your specific event needs to ensure that nothing is overlooked or duplicated by caterer and that set-up and breakdown is achievable within the given time frame

  • On-site wedding coordinator for up to ten (10) hours on wedding day (additional hours available at $75/per hour to effectively manage the days production.

  • Additional on-site coordination hours on wedding day are available at special rate of $75.00 per hour and may be required if you have rental items that needs to be collected at the end of the event on behalf of other vendors.

  • Rehearsal (one hour) may be reserved one month prior to your wedding date at most venues.

  • This package is not applicable to Loulu Palms Estate 

"We're Tying The Knot Full Service Coordination - $3950 plus tax

Your "one stop shop" for wedding planning!  This package is truly for couples that just don't have time (or want to) attend to all the intricate details in planning a wedding.  

 

  • Coordination services commence upon receipt of signed contract and retainer with an average pre-planning time of 110-120 hours
  • Assisting with vendor arrangements based on clients realistic budget and preferences.
  • Assisting with "design or theme" of wedding
  • Hawaii Weddings and Events will prepare a custom floor plan of the reception based on your requirements (head table, number of guests, dance floor, type of menu, etc.) 
  • Hawaii Weddings and Events will take care of ordering your rental equipment (tent, tables, chairs, linen, china, glassware, etc.) based on your specific event needs to ensure that nothing is overlooked or duplicated by caterer and that set-up and breakdown is achievable within the given time frame.
  • Assisting with menu planning
  • Preparation of detailed spending plan (ie: otherwise known as budget)
  • Hawaii Weddings and Events will follow-up directly (via telephone consultation e-mail or in-person meetings) on a monthly basis to ensure you are kept on track with your wedding planning and provide you with "homework" assignments that are prioritized for you along the way.    Starting at 3 months prior to wedding day, meetings or teleconference calls are every two weeks.
  • In depth review of all vendor contracts and reconfirmation of all vendor services as well as payments 
  • Preparation of detailed timeline that not only includes the day of the wedding, but includes your monthly meetings, deadlines leading up to your wedding day (when vendor payments are due, pick up tuxedos, final counts, etc.
  • Assisting in final program for the wedding day that will include specific details on those involved, song selections, timing that is also appropriate to your entertainment, menu, etc. 
  • Set-up of reception table (guest book, name list, gift card basket, etc) 
  • Distribution of flowers and vendor payments as needed
  • Ensures ceremony and reception venue are set-up as arranged by the client 
  • On-site wedding coordinator for wedding rehearsal (one hour) and up to ten (10) hours on wedding day (additional hours available at $75/per hour) to effectively manage the days production.  *If rehearsal is conducted by minister, may apply rehearsal time to ceremony day for a total of 11 hours. 
  • Confirmation of your event date, and start of consulting services and/or coordination services will not commence until non-refundable retainer fee and signed contract are received.   Payment may be made via cash, cashiers check, personal check ( USA only) or credit card with a 3.5% processing fee  Travel fee of $50-$75 is assessed for all events outside of Waikiki .  Neighbor Island available with all associated travel expenses (airfare, car and hotel)

Reservations and Payments

Due to the volume of inquiries we receive, an event date is not confirmed until a signed copy of contract and a

non-refundable retainer fee is received by Hawaii Weddings and Events at which time consulting and

coordination services will commence.    Payment may be made via cash,  cashiers check

personal check ( USA only) or credit card with a 3.5% processing fee.

A $30 fee will be assessed for any returned checks  

 

Full payment of remaining balance is due one month prior to event date.
