Budget Plan - $295 plus tax

We know from experience that much of the stress of wedding planning is when couples overextend themselves by not starting out with "realistic" figures or completely forgetting something which could result in very costly mistakes later.    A preliminary questionnaire will be sent to obtain necessary information to prepare your Oahu wedding ceremony and reception budget which start you off on the right path.

 

Candy Buffet

Exclusive service for Hawaii Weddings and Events clients, save yourself the time, money and the aggravation of buying and/or shipping glass containers, scoops and candy!    No more figuring out how you're going to transport, set-up and replenish the candy during your event and what to do with the containers when you're done.  

 

Service includes set-up of the candy buffet (re-using your reception table), glass containers, scoops, labels for all candy items, purchasing of 8-10 different types of candy (type based on whether indoors or outdoors), cellophane bags with twist ties and breakdown.      Pricing is dependent upon number of guests, type of candies used (higher cost associated with limiting colors to only 2-3) and the number of containers.  

 

Consulting/Pre-Planning:  

  • Free initial consultation (one hour) which is used to determine which of our coordination and planning services may best suit your needs.  Vendor recommendations are not provided at free consultation,.  Additional time is charged at an hourly rate of $75/per hour plus tax.

  • Hourly virtual (e-mail) consulting - $75.00 per hour plus tax  Based on 25 e-mails per hour which may be used to answer your planning questions, provide vendor resources that match your style and budget, event design, timing, etc.

  • Telephone consulting - $75.00 per hour For those that prefer to talk via phone

  • Unlimited virtual (e-mail) Consulting - $300 plus tax/per month
    For those that may need a lot of help and reassurance and don’t want to worry about how many hours they have used, Hawaii’s only dually certified professional planner will become your trusted advisor, answering your planning questions, provide vendor resources that match your style and budget, review all of your inspirations and offer guidance on which Oahu vendors may help create the look you want, review your budget to ensure realistic and vendor contracts to ensure you haven't overlooked any critical elements.

On-Site Coordination:

  • Additional on-site coordination hours on wedding day are available at special rate of $75.00 per hour and may be required if you have rental items that needs to be collected at the end of the event on behalf of other vendors (ie: rental vases, linen, etc.) 

  • Additional staff for two locations, extensive set-ups.  We’re awesome at what we do, but there are some times that due to additional requirements (ie: do it yourself décor or centerpieces, time constraints and other logistics that additional staff would be required as we can’t be at two places at once.  Additional staff is available at $35.00 plus tax/per hour (minimum 4 hours).  Please discuss details with your coordinator to determine if additional staff may be required to ensure the needs of your event are met.

  • A la carte hourly on-site coordination is $125.00 plus tax per hour with a 3 hour minimum

Rehearsal:

  • Rehearsal Coordinator - $200 plus tax is reserved one month prior to wedding (based on availability of the venue and coordinator) and is charged at additional $200 plus tax/per hour (*note:  if bridal party/parents are on time and focused then one hour of time suffices).

  • Rehearsal Dinner Coordination and Set-Up - $95 plus tax/per hour Includes rehearsal dinner recommendations, reservations, set-up of table decor (additional fees apply depending on whether fresh flowers or rental of such items as candles, Moroccan lamps, etc., pick-up and delivery of your bridal party gifts to venue

Perfect for destination weddings and those going "green", our ever expanding inventory includes vases, votive candle holders LED battery lights for outdoor events, bamboo runners, Moroccan Lamps, frames that are used for table numbers, table tent cards and menu signage, etc.    

 

Simply Set-up - $95 plus tax per hour/per staff (minimum of 3 hours)

Perfect for brides that have a ceremony at one location and a small reception at another location and simply doesn't have anybody to take care of the set-up for her reception.   An on-site staff person (which is NOT a coordinator position will set-up your reception table (gift box, guest book, seating assignments, etc) favors, place cards, table numbers, fans, etc. 

The number of hours, number of staff and pricing is dependent upon whether items are pre-delivered to venue or if staff has to pick-up items in advance of wedding date as well the number of staff that is required to complete the tasks within the given time frame.

 

Timeline Development - $395 plus tax

E-mail consulting service, client to provide their preliminary timeline, answers our questionnaire questions and provides list of vendors (and number of hours they are reserved for) and we’ll develop your timeline for you to ensure it is realistic and workable.  Does not include reconfirming vendors or distribution.

 

COORDINATION PACKAGE INCLUSIONS (for all wedding packages listed below)  

  • A detailed bridal questionnaire form which is completed and returned by the client between 1-3 months prior to the wedding date depending on the level of service you have selected.

  • Client to provide copies of all finalized contracts with vendors in order for us to reconfirm their services and timing

  • Hawaii Weddings and Events thoroughly reviews all of your documentation to ensure that nothing has been overlooked, that timing is appropriate and set-up may be completed within the given time frame

  • Detailed final timeline prepared and distributed to all of your vendors

  • In-person meeting with couple one week prior to wedding day.

  • Arrangement for collection of items from couple for wedding day such as: candles, guest book, favors, toasting glasses, place cards, etc.

  • Double checks your seating chart against your guest list to ensure no errors

  • Greeting vendors and directing as needed.

  • Ensures ceremony and reception venue are set-up as pre-arranged with venue and as shown on floor plan and matches your seating chart

  • Set-up of reception table (guest book, name list, gift card basket, as identified in answers provided in the bridal questionnaire form). 

  • Ensuring proper placement of seating cards, wedding favors, programs, disposable cameras, etc.
    Wedding day emergency kit

  • Assist with distribution and pinning of all corsages, boutonnieres, wedding flowers, flower baskets and ring pillow

  • Greeting your guests and directing them to ceremony area

  • Ensuring musicians are cued and ready to go

  • Lining up and cueing your wedding party for processional

  • Making sure the bride is ready to walk down the aisle ensuring dress looks perfect for your entrance

OFF-PREMISE INCLUSIONS AND GUIDELINES (included in our Lanikuhonua, Lokahi, Laulima, For Sanity’s Sake and “We’re Tying the Knot” Coordination and Consulting Packages):

  • Hawaii Weddings and Events will prepare a custom floor plan of the reception based on your requirements (head table, number of guests, dance floor, type of menu, etc.)  

  • Hawaii Weddings and Events will take care of ordering your rental equipment (tent, tables, chairs, linen, china, glassware, etc.) based on your specific event needs to ensure that nothing is overlooked or duplicated by caterer and that set-up and breakdown is achievable within the given time frame.  

  • Please note that events over 100 guests may require you to secure the day before for tent installation to ensure your event is set-up prior to your guests arrival (the larger tents can take 4-5 hours just to install which doesn't include your table set-up time).

  • Rental company to set-up tent, lighting, arch and tables.  Coordinator will place linen and start initial set-up of ceremony chairs (to ensure aligned), and caterer to place china/flatware.

  • Caterer to be scheduled for the start the event to properly service your guests (cocktails, hors d'oeuvres, bussing tables, removing garbage, serving food, manning buffet, taking drink orders, etc.) and are to assist with breakdown of all tables and chairs (stacked up on concrete) as well as removing garbage at the end of the evening (as required by venue)   If your caterer does not provide this service, we may make arrangements to bring in additional staff at a rate of $35/per hour (4 hour minimum).

"Elua" Day-Of Coordinator package - $1195 plus tax

Perfect for very organized couples that have made and finalized with their hotel venue, will be hiring all of their own vendors without any guidance, will finalize all of their own contracts and just needs someone to double check all of their arrangements and to have an on-site coordinator to manage the days’ event.

 

Retail value of this package is $1425 plus tax with an average of 24 hours devoted to consulting, thorough review of all details, pre-meeting and day of assistance.

  • Four (4) hours of virtual consulting services start immediately upon receipt contract and retainer to answer timing questions or provide vendor referrals. Additional hours available at $75.00 per hour

  • All services listed “Coordination Packages Inclusions”

  • Client to provide copies of catering event order and floor plan, vendor contracts and bridal questionnaire form to Hawaii Weddings and Events two months prior to wedding day

Great wrap up package!  For those couples that have made all of their own Hawaii wedding arrangements at a hotel venue, have booked their vendors and just don't know how to tie up all those loose ends or are starting to feel a little overwhelmed or unsure if they have done everything correctly.  

 

Retail value of this package is $2000 plus tax with an average of 50 hours devoted to consulting, assisting with finalizing details, a thorough review of all details, pre-meeting, rehearsal and day-of assistance.

  • Six (6) hours of virtual consulting services start immediately upon receipt contract and retainer.  Additional hours available at $75.00 per hour.

  • All services listed “Coordination Packages Inclusions”

Our most popular package has been created just for our "Do It Yourself" Lanikuhonua brides who still want to do their own planning and event design, but do need help managing the days' event at this beautiful oceanfront location.   Retail value of this package is $2300 plus tax with an average of 60 hours devoted to consulting, rentals management, thorough review of all details, pre-meeting, rehearsal and day-of assistance.

  • Six (6) hours of virtual consulting services start immediately upon receipt contract and retainer to answer questions and help refer you to appropriate vendors.  Additional hours available at $75.00 per hour.

  • Eight (8) hours of virtual consulting services start immediately upon receipt contract and retainer to answer questions and help refer you to appropriate vendors.  Additional hours available at $75.00 per hour.

  • Monthly telephone consultations or in-person meetings starting up to 15 months prior to wedding  day  

  • Event design concepts from a national award winning event planner who won the 'Best Catered Wedding Event of the Year 2009, Budget under $25K (50 person wedding) at the National Association of Catering Executives Experience Conference held in Austin, Texas on July 27, 2010..     This time will include helping to source materials, fabricating items as needed (if budget allows), working with floral and linen vendors to create a dynamic table design and utilizing 20+ years of experience in the event and hospitality industry.

  • Assists with menu planning and beverage selections to meet the needs of your guests, event goals and your personality

  • Serves as liaison with all vendors and follows up on contracts on behalf of the bride and groom

  • Rehearsal (one hour) is included in this package - reserved one month prior to wedding date

  • Assistance with errands the week of the wedding (ie: pick up and drop off of wedding dress for pressing, purchase of your beverages with delivery to caterer for off-premise venues, delivery of out-of-town gift bags, pick up favors, etc. so that you may relax and enjoy time with your family and friends

  • Assistance with rehearsal dinner plans is included in this package

  • Up to 28 hours of "week of" assistance

  • On-site coordinator and assistant for up to twelve (12)  hours on wedding day 

  • Travel fee is included in this package

 

Reservations and Payments

Due to the high volume of inquiries we receive, an event date is not confirmed until a signed copy of contract and anon-refundable retainer fee is received by Hawaii Weddings and Events at which time consulting and coordination services will commence and date is secured.

 

Payment may be made via cash,  cashiers check personal check ( USA only) or

credit card with a 3.5% processing fee.   A $30 fee will be assessed for any returned checks  

 

Full payment of remaining balance of all services is due one month prior to event date.

Once signed contract and retainer is received you are "locked in" to

 your package rate and inclusions as noted on contract
